Create and use lists
A list is a saved group of records you can open as a tab, share with your team and call through. A Manual list holds the rows you add by hand. A Smart list keeps itself current from a saved filter, so new matching records join on their own. Smart + manual is a saved filter plus rows you added. Open the Lists menu in any grid to create, open or call a list.
Before you start
Section titled “Before you start”- Records in a grid, from an import or added by hand.
Create a smart list from a filter
Section titled “Create a smart list from a filter”- Open a grid and filter it, or run a plain-English search.
- Press Lists. Under Save this filter to…, choose New smart list….
- Enter a Name and, optionally, a Description.
- Press Save list.
Create a manual list from selected rows
Section titled “Create a manual list from selected rows”- Check the rows you want in the grid.
- Press Lists. Under Add … selected to, choose New list….
- Enter a Name and press Create & add.
To add rows to an existing list, check them, press Lists and choose the list under Add … selected to.
Open, call and manage a list
Section titled “Open, call and manage a list”- Open: press Lists and choose the list under Open. It opens as its own tab next to the grid tabs.
- Call: with the list open, press Lists › Call this list. See Power dialer.
- Rename: Lists › Rename….
- Change the rule: Lists › Edit rule…, or Replace rule with these filters… to use the filters on screen.
- Remove rows: check them, then Lists › Remove … selected from the list.
- Delete: Lists › Delete list…. The records in it are not touched.
Lists from an import
Section titled “Lists from an import”On the last step of an import, Add these records to a list puts everything the file creates or updates into a new or existing list. See Import your first list.
Troubleshooting
Section titled “Troubleshooting”Will a record I removed from a smart list come back?
Section titled “Will a record I removed from a smart list come back?”No. A row you remove from a smart list stays out, even though it still matches the filter.
“You already have a list called…”
Section titled ““You already have a list called…””List names must be unique in your workspace. Pick a different name.
“This list uses a search this grid can’t run yet”
Section titled ““This list uses a search this grid can’t run yet””The list’s rule uses a filter the grid can’t apply. Edit the list and remove that filter.
