The import wizard, step by step

After you upload a spreadsheet, ProspectingView reads it and opens a seven-step review: Sheets, Connections, Skipped columns, AI Suggestions, Column mapping, Invalid Rows and Confirm. Each step shows what ProspectingView understood and lets you correct it. Nothing is added to your records until you press Apply Import on the last step.

  • An Excel workbook (.xlsx) or a CSV file (.csv), up to 25 MB. Workbooks with several tabs are fine.
  • Any role can import.
  • Imports count toward your plan’s monthly row allowance. See plans and pricing.
  1. Open ProspectingView in the side menu to see your records.
  2. Press the + button at the top right of the grid. Add to workspace opens.
  3. Choose Upload File. Upload Spreadsheet opens.
  4. Drag your file onto the window, or press Choose file.
  5. Optionally, type an Import name you will recognize later.
  6. Press Upload. You see Analyzing your file… while ProspectingView reads it.

Reading a large file can take a few minutes. You can press Go to Home and keep working: a progress bar stays at the bottom of the screen, and the review opens when it is ready. You can also find every import under Library › Import files.

The page is titled Review sheets. It shows how ProspectingView read each tab: how many rows it holds, what each row becomes (for example “Each row becomes a contact.”) and which column identifies each row.

  • If ProspectingView recognized where the file came from, its name appears at the top of the review, for example CoStar.
  • Use Sheet role to change what a tab holds: Contacts, Properties, Companies, Deals, Leases, Activities, Tasks, Connections, Owners or Occupants. Choose Skip this sheet for a tab that is not records, such as a notes or summary tab.
  • If ProspectingView is unsure, it asks Not sure this sheet is records — skip it?
  • A tab that needs to find its property may show Property matching with Needs your input. Choose how rows find the property they belong to. See Re-import without duplicates.

The page is titled How your sheets connect. When a workbook has several tabs, this step shows how they link: for example, each row on an owners tab points at the property it belongs to on the properties tab.

Each connection is written as a sentence and marked Detected from your file, AI detected or Set by you. Check them: a wrong connection links people to the wrong properties. Use the edit button to change one, the delete button to remove one, or Add connection to add one.

The page is titled Skipped & stashed columns. These are columns ProspectingView did not match to a field. For each one you can:

  • press Fix mapping to choose the field it belongs to,
  • press Skip to leave it out, or
  • keep it as a Custom attribute, so the value is saved on the record even though no field fits.

The page is titled AI suggestions (or Columns to decide). It lists the columns ProspectingView was not fully sure about, grouped as Needs your decision, Needs review and AI-inferred mappings. Each card says what it suggests and how sure it is, for example “AI suggests: Owner phone · 82% confidence”. Confirm the suggestion or press Fix mapping. Anything you fix teaches ProspectingView for next time.

The page is titled All mappings. It shows every column on every tab and the field it goes into, with How we decided (for example Name match or AI suggested) and a Confidence score. Disagree with one? Press its fix button and choose another field. See How columns are matched.

The page is titled Invalid rows. Rows with values that can’t be saved, such as an unreadable phone number, are listed here with the cells that caused the problem. Fix or drop each invalid row before continuing. If every row is fine, the page says all rows are valid. See Fixing invalid rows.

The page is titled Confirm & apply. It sums up what will happen: how many rows are valid, and for each tab how many records will be created or updated.

  1. Optionally, under Every property in this file is a…, pick a property type for rows whose type the file doesn’t say.
  2. Optionally, under Add these records to a list, choose + New list and type a List name. Everything this file creates or updates will be added, so you can call the list later.
  3. Check Not going in: the rows and columns that will not be imported.
  4. Press Confirm Import, then Apply Import.

ProspectingView adds the records. When it finishes, the same page says This import has been applied, with how many rows were imported, skipped or failed. Your records appear in the grids within a few seconds. If you added them to a list, press View list to open it.

Open Library › Import files and click the import to reopen its review. The progress bar at the bottom of the screen also shows imports still running.

On the finished import, press Show rows that couldn’t be imported to see why, then Try these rows again.

Can I change something after I press Apply Import?

Yes, record by record, like any other edit. Check the Confirm step carefully first: it is the last point where the whole file can be changed at once.
