Import a CoStar export
To import a CoStar export, save it from CoStar as an Excel file, then upload it in ProspectingView with + › Upload File. ProspectingView recognizes the CoStar layout from its headers, so property details, owners, owner mailing addresses and phone numbers are matched without AI guesswork. Review the seven wizard steps and press Apply Import.
Before you start
Section titled “Before you start”- Export your search from CoStar as Excel (.xlsx). Keep the original headers; don’t rename columns.
- If you export several searches, you can upload them one at a time, or put them on separate tabs of one workbook.
- The file must be 25 MB or smaller.
- In ProspectingView, open ProspectingView in the side menu, press + and choose Upload File.
- Drop the CoStar file in Upload Spreadsheet, give it an Import name such as “CoStar Dallas retail”, and press Upload.
- When the review opens, check the top of Review sheets. CoStar is shown as the source, and each export tab reads “Each row becomes a property.”
- Press Continue through Connections and Skipped columns. CoStar columns that have no field in ProspectingView are listed under Skipped columns; keep any you want as a Custom attribute.
- On AI Suggestions, there is usually little or nothing to decide for a CoStar file.
- Check Invalid Rows, then on Confirm & apply add the records to a new list, for example “CoStar Dallas retail”.
- Press Confirm Import, then Apply Import.
What gets imported
Section titled “What gets imported”- Properties: address, type, size, year built and renovated, sale and lease details such as the asking price and last sale.
- Owners: the owner name and, where the export has it, the true owner behind the recorded owner, with each one’s mailing address.
- People and phones: owner contacts and their phone numbers, each on the right owner. A second owner block in the same row becomes a second owner.
- Occupants: exports that list occupants create them on the property.
What happens next
Section titled “What happens next”Your properties appear in the Properties grid, with owners and contacts linked. Addresses are cleaned and placed on the map. Next, search your list or open it and start calling.
Troubleshooting

Section titled “ProspectingView didn’t recognize my file as CoStar”Recognition relies on CoStar’s original headers. If you renamed or removed columns, the file is treated like any other spreadsheet and AI matches the columns instead. It still imports; check the AI Suggestions step more carefully.
I imported the same CoStar search again last month. Will I get duplicates?
Section titled “I imported the same CoStar search again last month. Will I get duplicates?”No. Properties are matched to the ones you already have, and contacts you already have are matched rather than created again. See Re-import without duplicates.
Why did an address change?
Section titled “Why did an address change?”ProspectingView standardizes addresses so the same building always matches, for example “St” and “Street”. The building is the same; only the spelling is cleaned up.
