Re-import a list without duplicates
You can import an updated version of a list without creating duplicates. ProspectingView matches each row to the records you already have. Properties are matched by the rule you choose, such as parcel number, street address or your file’s own ID. People are matched by their phone numbers and emails. Records that already exist are updated or skipped, not created again.
Before you start
Section titled “Before you start”- The file should keep the same identifying columns as last time, for example the same ID column or the same address columns.
How records are matched
Section titled “How records are matched”Properties are matched by the rule shown under Property matching on the Sheets step. Rows on this sheet are matched to existing properties by the rule you pick:

Use If no match, also try to add fallbacks, for example parcel number first, then street address.
People are matched by their phone numbers and email addresses. Shared addresses such as info@ are never used to merge two people. If several contacts share a name and nothing else matches, ProspectingView creates a new contact rather than guessing.
- Upload the updated file with + › Upload File.
- On Review sheets, open Property matching on the tab that holds properties. Press Edit if it is already set.
- Choose Match properties by, add any If no match, also try fallbacks, and press Save.
- Finish the wizard and press Apply Import.
What happens next
Section titled “What happens next”The progress bar at the bottom of the screen shows how many rows were added and how many duplicates were found, for example “12 rows already exist and were skipped”. Rows you dropped on a previous upload of the same file are dropped again automatically.
Troubleshooting
Section titled “Troubleshooting”I still got a duplicate property
Section titled “I still got a duplicate property”The two rows had nothing in common that the matching rule could use, for example an incomplete address and no ID. Use a stronger rule such as Record ID from your file or Parcel number (APN) next time. Delete the extra property from the grid.
A row says “Already exists — another row created this record first”
Section titled “A row says “Already exists — another row created this record first””Two rows in the same file describe the same record. The first one created it; the second was not added again.
