Import any spreadsheet

You can import any Excel (.xlsx) or CSV (.csv) file into ProspectingView, not only CoStar, Reonomy or HubSpot exports. Upload it with + › Upload File. ProspectingView matches the columns it can by name and by the values they hold, and AI suggests a field for the rest. You confirm or correct each suggestion in the wizard before anything is added.

Before you start

  • One header row at the top of each tab works best. Blank rows above the headers are fine.
  • One kind of record per tab: properties on one tab, contacts on another. A single tab mixing a property and its owner in each row is also fine.
  • The file must be 25 MB or smaller. Save older .xls files as .xlsx first.

Examples of files that import this way: a Crexi lead report, a RealNex or Follow Up Boss export, a county records download, or a list you built yourself.

Steps

  1. Open ProspectingView in the side menu, press + and choose Upload File.
  2. Drop the file in Upload Spreadsheet, name the import, and press Upload.
  3. On Review sheets, check what each tab holds and fix any Sheet role that is wrong.
  4. If the file has several tabs, check How your sheets connect.
  5. On AI Suggestions, confirm or fix each column the AI was unsure about. Start with Needs your decision.
  6. Skim All mappings for anything that looks wrong, then fix Invalid Rows.
  7. On Confirm & apply, add the records to a list if you plan to call them, then press Confirm Import and Apply Import.

Tips for a clean import

  • Keep one value per cell. “555-0100 / 555-0199” in one cell is harder to read than two phone columns.
  • Use clear headers. “Owner Phone” matches better than “Ph”.
  • Keep the columns you care about. Columns with no matching field can be kept as a Custom attribute rather than skipped.
  • Tell ProspectingView the property type on Confirm & apply if the file has no type column. Use Every property in this file is a….

What happens next

Your records appear in the grids. Every fix you made teaches ProspectingView, so the next file with the same layout needs fewer decisions.

My file won’t upload

Check the size (25 MB at most) and the type. Excel workbooks (.xlsx) and CSV files (.csv) work. Save a Google Sheet as .xlsx first, from File › Download in Google Sheets.

Every column went to “Skipped columns”

The header row may not be the first row, or the headers may be blank. Put the headers in the first row and upload again.
